JOB PURPOSE |
To provide administrative support for the ALS functions, working as directed by the ALS Co-ordinators and Vice Principal Learner Experience
To be responsible for the collation and presentation of all information required
To provide outstanding customer service to learners and tutors
MAIN DUTIES AND RESPONSIBILITIES |
To ensure that information for learners about ALS and LDD provision on the website and printed material is up-to-date and matches that submitted by curriculum teams, including fees, start dates etc.
To support ALS Co-ordinators with arrangements for ALS and LDD assessment sessions, including liaising with learners and parents/ carers, and ensuring ALS Co-ordinators have all required records and application information.
To prepare and send out contracts to tutors and support workers in a timely manner
To liaise with the ALS Co-ordinators and School administrators to ensure appropriate accommodation is allocated for LDD and ALS activities, and that rooming records and changes are kept up to date. To proactively inform tutors, LSWs and learners of any room changes.
To liaise with School Administrators to ensure that all discrete LDD courses have a course outline, approved by the Programme Manager of the relevant School, and that it is entered on the College’s database in time for the publication of the prospectus.
To send reports on course numbers as directed to the Vice Principal Learner Experience and ALS Co-ordinators.
To liaise with School Administrators to ensure class closures are notified to learners, and to liaise with the CIS and Admissions teams to arrange transfers and rooming updates, ensuring that any transfers and refunds are confirmed and actioned as appropriate.
To act as first point of contact for all telephone enquiries, messages and visitors to the ALS section; maintain an awareness of the courses co-ordinated by the ALS section and of the timetables and contact details of curriculum staff in order to answer queries; liaise effectively with all those who communicate within the ALS section, from both inside and outside the College;
To liaise with learners’ parents/ carers and care homes as appropriate to resolve day-to-day problems with learners, transport and pick-up arrangements etc;
To assist ALS Co-ordinators and support workers to ensure that learners are appropriately supervised at all times;
To assist ALS Co-ordinators with creation and storage of resources and equipment;
To assist with School events, which may be held in evenings or weekends.
To produce correspondence and documents as requested by the Vice Principal Learner Experience and ALS and Co-ordinators
To take minutes when required.
To maintain filing and database systems.
To liaise with the Vice Principal Learner Experience and ALS Co-ordinators to ensure that HR is advised at the earliest opportunity of all sessional teachers and support workers who leave the College’s employment.
To liaise with the Vice Principal Learner Experience about change of arrangements for teachers and support workers and inform payroll and HR.
To maintain records of staff leave and sickness absence and to ensure that the procedures for self-certification are followed.
