Guidelines for Evaluating a DARS Test Audit – College of Agriculture


OVERVIEW


This check list is designed as an aid in your evaluation process. You may want to consider adding additional college requirements and specific department requirements making your check list complete.

As a “tester” you are responsible for testing of the DARS audit during the pilot stage. The testing phase requires that you validate the accuracy of every line, every requirement, and every statement on the audit. Review of numerous audits is required in each curriculum as every student record is unique--thus different problems may occur for individual students within the same major.


Departmental Requirements

Verify the accuracy of the programming. Are all courses falling and counting correctly?


Suggestion to Departments: Under this section, add department specific requirements, such as minimum required credits at 400-level or above; minimum grade requirements; etc.


College Requirements


Verify the accuracy of the programming. Are all courses falling and counting correctly?

Verify that the English Proficiency Requirement is written accurately and working correctly for both in progress courses and completed courses. English Proficiency Requirements for the College of Agriculture are 6 credits of English Composition with C or better; 3 credits of Speech with C or better, and Lib 160.

Check that courses are only being dualed (reused) toward a minor.

Cautionary Note: Courses that are dualed (used to meet more than one requirement) are not identified on the DARS audit with a “D” as in the current DA system. There is no indication that the course is being used to meet more than one requirement. DARS should appropriately place dualed courses. During the pilot test stage, it is important that you review the audits closely to make sure that the audits have been programmed correctly.

Verify that the Honors Program requirements are working (3.35 minimum cumulative grade point average, 490 and Honors seminar credit requirements)


Are appropriate courses falling into the Ethics requirement area?


University Requirements


Verify that the “last 32 credits must be taken at ISU” rule is working in DARS. Check to make sure that any messages DARS puts on the audit regarding this issue are appropriate.

Verify that DARS is handling Engl 104/105 correctly. The student is required to have at least 5 credits for these two classes. Test out applies.


Check that no more than nine P/NP credits are applied toward graduation, meaning that only nine credits of P/NP are falling into the electives area and any excess P/NP credit is falling into the Courses Not Applied area of the DARS audit.

Minors require a minimum of 15 credits including at least six credits taken at ISU in courses numbered 300 or above. The minor must include at least nine stand alone credits, meaning those nine credits can not be used to meet any other department, college, or university requirement.


Is DARS using approved courses to meet the U.S. Diversity and/or International Perspectives requirements, and if so are they displaying appropriately on the DARS audit? 3.0 credits are required for both the International Perspectives requirement and the U. S. Diversity requirement.

Verify that the International Perspective requirement is only automatically waived if the student is classified as a ‘non-citizen’ or ‘refugee’. If you see a waiver, meaning the DARS audit indicates IP is met and no course is listed, go to Advising Services in AccessPlus and look up the student’s citizenship on the current student information screen to verify that the automatic waiver is appropriate.

DARS has been programmed to handle those course combinations where both courses may not apply toward graduation. Such courses include, but are not limited to Biol 109 & 201, Math 104 & 105, Chem 163 & 177, and Stat 101 & 104. Verify that the first course taken has been assigned zero credit.


Engl 101, Math 100Z, and Chem 50 (previously 105X) may not count toward graduation and thus should be falling in Courses Not Applied.

Check that credit is not given for the same course twice. Verify that the first course of any repeated courses, courses with number changes, and dual-/cross-listed courses is assigned zero credit.


Courses with grades of ‘non-report’ and ‘incomplete’ should be running in the Courses Not Applied area with zero credit. These credits are not included in the ‘Total Applied Credits’ of the audit. Verify that this programming is working.

Verify that DARS is only allowing up to the maximum number of credits for those courses which are designated as repeatable. Courses that may be repeated for credit but have a maximum total number of credits allowed should appear on the audit with excess credits falling in electives for zero credit.


Examples:

AgEdS 450 (3 credits each time taken – maximum 9 credits)

AgEdS 211 (1 credit each time taken – maximum 3 credits)

AST 297 (2 credits each time taken – maximum 4 credits).


Note: Extra 490 credit should fall in the Courses Not Applied area, rather than in the Elective area.

Check that academic renewal credits are running in the area titled Academic Renewal Courses.


 Check to make sure that any high school unmets are identified on the audit.
