20-05: VOICEMAIL, EMAIL, INTERNET AND COMPUTER SYSTEMS PRIVACY & PERSONAL USE
Purpose:
To delineate guidelines for use of FREED equipment and information systems for personal purposes.
Regarding Privacy:
FREED respects the individual privacy of its employees. However, an employee cannot expect privacy rights to extend to work-related conduct or the use of FREED’s equipment or supplies.
Specific Policies on Use of Information Systems:
FREED’s right to access information. Although FREED employees have individual access codes to voicemail, email, and computer systems, these systems are accessible at all times by FREED and may be subject to periodic unannounced inspections. All system pass codes must be made available to FREED’s Operations Manager for system management.
System use restricted to FREED business. Employees are expected to use the email, voicemail, internet and computer systems for FREED business, not for personal purposes. While it is reasonable to expect that staff members will give or receive personal email or phone calls from time to time, these should be limited to necessary communications which cannot be carried on outside of business hours. Emails using FREED computers are not private even when made to or from a private email account.
Forbidden content. Employees are prohibited from using FREED’s information systems in such a way that may be disruptive or offensive to others, including, but not limited to, the transmission of sexually explicit messages, cartoons, ethnic or racial slurs, or anything that may be construed as harassment or disparagement of others. Partisan political activities including forwarding material that supports or opposes political candidates can jeopardize FREED’s public funding and is prohibited.
Procedure: Excessive personal or other inappropriate use of FREED’s information systems will result in disciplinary action up to and including termination.
