About this Guide

This guide explains the features that are available for system administrators to manage the access that can be given to employees who need to be able to access your organisation’s restricted vacancies, and identifying employees who have been identified as ‘affected by change’.


The features described in this guide are only available to system administrators, or those assigned the ‘HR Admin’ permission.


Overview

Restricted accounts and restricted advertising provide you with the ability to advertise jobs solely to specific groups of pre-identified staff. This option can be used for example, when staff are facing redundancy and vacant posts can be ring-fenced for those affected employees.


Restricted Accounts

The restricted accounts area enables system administrators to provide employees whose jobs have been identified as ‘at risk’ with access to your organisation’s restricted jobs.


All existing restricted accounts have been imported to the new NHS Jobs service.


Where to start

To add or manage restricted accounts select the ‘Restricted accounts’ option within the Admin section of the left navigation menu.



Overview

Employees with accounts on NHS Jobs and that have been set up with a restricted account will be able to view and apply for vacancies that have been advertised as ‘locally restricted’ by your organisation, as ‘group restricted’ by organisations within a group that your organisation also belongs to, or as ‘national restricted’ by any organisation within England and Wales on NHS Jobs.

Employees provided access to this service will be shown details of restricted jobs using the ‘job search’ and within their ‘Jobs by Email’ alerts.

Before restricted accounts can be added, the function needs to be switched on.

RESTRICTED ACCOUNTS AND AFFECTED BY CHANGE ACCOUNTS ABOUT THIS



To create a restricted account you need to enter the employee’s name, their chosen email address and job title.

The page will display whether the employee has a job seeker account with NHS Jobs under the email address you have identified them under – this is identified under: ‘Has account.’

An email will automatically be sent to the employee when they are set up with restricted jobs access either advising them to create an NHS Jobs account or log into their existing NHS Jobs account depending on whether they already have an NHS Jobs account under the specified email address.

Note: It is important to ensure that email addresses are entered correctly when giving access to restricted jobs.

Employees that have been set up with a ‘restricted account’ on NHS Jobs will be identified in the applications list for any vacancy they apply to via a grey ‘R’ icon.



Caution

Restricted accounts for employees must only be set up once a face to face meeting has taken place explaining the situation to them. NHS Jobs will automatically send an email to the individual as soon as they are set up with a restricted account and it is, therefore, not appropriate for that email to be the first that they learn of the situation.

Restricted accounts should only be set up in your organisation on NHS Jobs for staff within your organisation. It is not appropriate to set up employees from other organisations given the access to information about their job-seeking activity that you will be able to view. This information is available to you in order to ascertain whether an ‘at risk’ employee requires additional support in securing alternative employment.



Affected by change Accounts

The purpose of the ‘affected by change’ area is to identify any members of staff within your organisation whose jobs may be or have been identified as affected by organisational change.


All existing affected by change accounts (previously known as ‘pre-at risk accounts’) have been imported to the new NHS Jobs service.


Where to start

To add or manage affected by change accounts select the ‘Affected by change accounts’ option in the Admin section of the left navigation menu.



Overview

There is no additional benefit to employees of being set up with an ‘affected by change account’ although they will be identified in the applications list for any vacancy they apply to via a grey ‘A’ icon. It is up to local recruitment practice/policy as to how such applications are treated.

Before ‘affected by change accounts’ can be added, the restricted accounts function needs to be switched on.

To create an ‘affected by change account’ you enter the employee’s name, their chosen email address and job title.

The page will display whether the employee has a job seeker account with NHS Jobs under the email address you have identified them under – this is identified under: ‘Has account.’

If the employee later requires access to restricted jobs, you will be able to move them to the ‘restricted accounts’ area using the ‘Make restricted’ link on the page.
