Club Event Checklist
Hold a meeting with club members and brief them on the aims of the event
Prepare and send letters to local schools and community groups informing them of the event
Place posters with other organisations such as schools; TAFE; Universities; Shopping Centre’s; Community Notice Boards and Sporting groups/clubs
Distribute additional posters and flyers
Liaise with local schools/ sporting groups to include event information in their weekly/ monthly newsletters
Liaise with local Council to have the event placed in the Council Newsletter or News/What’s On? Section of their website
Inform local media of the event (radio, newspapers and local television networks)
Ensure there are adequate members available to assist during the Club Open Day
Source any possible sponsors for activity prizes
Create a run sheet that can be used on the day – include all activities on offer at the event (Demonstrations; Community presentations; Club tours; BBQ times etc.)
Confirm all equipment required for any demonstrations/ presentations is ready, accessible and in working order the day before the event (including batteries, radios etc.)
Print all necessary resources in readiness for the event (Membership forms, handbooks, Working with Children (WWC) Check forms etc.)
Arrange Club fit out in preparation for the day (Place posters in prominent places, have merchandise ready, erect any banners and signage)
Confirm specialist Volunteers (BBQ Coordinator; IRB Driver and Crew if performing mock rescues etc.)
Send reminder SMS/Email to volunteers the day prior to the Club Open Day
