MK IAC www.mkiac.org has a seven year track record of building and delivering its pioneering Art in the Park Festival in Milton Keynes. Art in the Park is an annual intercultural celebration, combining arts and popular entertainment. http://www.mkiac.org/artintheparkfest.php Each year the Festival attracts circa 10,000 people from a full cross-section of Milton Keynes communities. The key aim of the MK IAC organisation is to build and support community cohesion and integration of the Muslim community through shared cultural activity with all communities and high quality arts delivery. MK IAC is led by founding Director, Anouar Kassim MBE.


MK IAC has regularly attracted Arts Council England and BIG Lottery funding, along with support from private Trusts and Foundations. It has a base at Milton Keynes College. Having recently achieved ACE Elevate funds the organisation is looking to appoint its first continuous employed posts and is seeking an efficient and committed Administrator (initially half-time but with potential to become full time in March 2017). MK IAC seeks an Administrator with the right skills and commitment and is open to appointing someone from any cultural background.


The Administrator will support all aspects of the development and delivery of MK IAC and its activities. This will include both Art in the Park and other programmes of work throughout the year. The Administrator will be responsible for responding to phone and e-mail enquiries, arranging and servicing meetings, implementing finance systems and record keeping, booking venues, preparing artist contracts and travel arrangements, and managing post and petty cash.

Position: ADMINISTRATOR

Contract type/length: Initially half-time, fixed term until 31 March 2018 (this will be reviewed in early 2017 with a view to the post becoming full-time in March)

Salary: Pro-rata of an annual salary of £20,000

Reporting to: MK IAC Development Manager

Working with: MK IAC Director

Hours of working 20 hours per week – flexi time working can be agreed.

Holiday entitlement: 10 days per annum plus statutory Bank Holidays

Summary


MK IAC www.mkiac.org has a seven year track record of developing and delivering its pioneering Art in the Park Festival (drawing many different communities to a celebration timed for the Eid festivities at the conclusion of Ramadan). The key aim of the MK IAC organisation is to build and support community cohesion and integration of the Muslim community through shared cultural activity and high quality arts delivery. This is currently primarily achieved through Art in the Park. The Festival presents live music, storytelling, processional/carnival activity, spoken word and visual arts, with a hugely successful programme of participation, and attracts circa 10,000 attendees each year. In addition to arts activity there is funfair provision, a food marquee with a demonstration kitchen, food stalls and community, voluntary and statutory organisations presentations and displays (including from the fire brigade and police).


Over seven years the quality and intensity of Festival programming has seen substantial development, with enhanced ACE funding secured from 2013 when ArtReach (www.artreach.biz) was engaged as consultant (an ongoing role). ArtReach is also currently responsible for event managing Art in the Park. In 2016 MK IAC initiated support from an experienced Artistic Advisory Group and appointed freelance curatorial support from Eckhard Thiemann and Daniel Gorman (Shubbak Festival). There are exciting plans for 2017 which is also the 50th anniversary of Milton Keynes.


MK IAC has also coordinated occasional one-off arts projects that support a focus on engaging diverse communities through culture. The success of the work, particularly in bringing diverse communities (including Muslims) together, has led to invitations for MK IAC to contribute to projects and programmes in surrounding areas of Buckinghamshire and Bedfordshire.

Up until now the organisation has been restricted by capacity issues, reliant on the contribution of founding Director, Anouar Kassim. The organisation has now secured Elevate funding from Arts Council England with support through to March 2018. Hence the Administrator role is initially fixed term to this date. There are plans, however, to submit an application for ACE NPO status which would commence in April 2018 and if successful this would enable the role to continue. MK IAC is also at Stage 2 with a substantial three year BIG Lottery application to Reaching Communities. With a decision expected in January 2017 the funding through this source would enable the Administrator post to be extended to full-time.


Autumn 2016 will also see the appointment of a full time Development Manager and half-time Marketing Officer. There are also funds for two intern positions. These are the first employed posts that MK IAC has been able to appoint and they will be based at MK College which offers substantial support in kind as the MK IAC base.


These appointments will facilitate development activity focusing on – further reinforcing and building the quality of Art in the Park; starting to develop a year-round programme; building sources of earned income and a wider range of funding partners; developing effective and productive partnerships with other cultural organisations (including existing NPOs); enhancing marketing and profile; providing support for emerging diverse artists and a potential cultural workforce; and improving governance through board recruitment and training. Much of this work will contribute to the ACE Creative Case for Diversity.



Administrator - Key Responsibilities

  1. Providing an efficient first point of contact for MK IAC for those communicating with the organisation via telephone, e-mail or post.



  1. Arranging and servicing meetings and artist/practitioner contracts, including taking minutes of meetings, preparing and issuing contracts, making travel arrangements and venue booking/coordination.



  1. Ensuring finance systems including purchase orders, petty cash and financial record keeping are efficiently implemented and maintained.

Detailed Responsibilities


  1. Familiarise with Art in the Park, with other existing MK IAC initiatives and other arts and cultural activity in Milton Keynes. Maintain up-to date awareness and knowledge.

  2. Build and maintain an effective working relationship with the MK IAC Director, Development Manager and Marketing Officer and with other team members, including freelance advisers.

  3. Ensure there are appropriate systems and response mechanisms in place for phone, e-mail and postal enquiries and deal with such enquiries/messages efficiently and promptly.

  4. In response to team and activity requirements arrange and coordinate venue bookings (including catering as needed).

  5. Attend and take minutes of meetings as required. Distribute minutes efficiently and speedily.

  6. Using template supplied, prepare draft contracts for artists and practitioners with information/advice provided by the MK IAC Director and Development Manager. Issue and ensure contracts are signed and returned once final drafts approved.

  7. Make travel arrangements as needed for MK IAC staff and visiting artists/practitioners.

  8. Manage the MK IAC petty cash float and provide accurate spreadsheet reports.

  9. Implement purchase order and other finance systems as required and ensure these are accurately followed by all team members.

  10. Record financial transactions and file receipts as advised/instructed by the MK IAC Treasurer and Director.

  11. Support development of an MK IAC database and archive.

  12. Ensure regular reports and updates are provided to the MK IAC Development Manager and Director.

  13. Attend events and meeting, always acting as an advocate on behalf of MK IAC.

  14. Support MK IAC in fulfilling is obligations through Elevate funding and in making an appropriate contribution to the Creative Case for Diversity.

  15. Any other administration and communications work as required to ensure effective delivery of the Administrator role.
