Questions for Primo Administration

  1. Can you talk a bit more about harvesting records from local digital repositories? We may want to do this post Go-Live and as it was a major section of the back end workbook it would be useful to have a bit more information about the process.

  1. When adding a new record into Alma, are these automatically normalised to PNX in Primo or is this a manual task for the cataloguer?

New records needs to be published from Alma to Primo – this can be 6, 12 or 24 hour intervals and then Primo runs a pipe to harvest them

  1. If we create a View and limit the search resources specific to a library or campus, are there items from a search of Primo only displayed or would duplicates from other libraries also be displayed in the results? Could you suppress these duplicates or prioritise the specific libraries resources so the user can see what is in their local library only?

You will get the record displaying all locations. LW to investigate how the order is set from Alma and also if possible to suppress library information from brief display.

  1. How often are release notes updated in Primo? Is this the same for the new UI?

Every 3 months. The UI changes are coming as part of the releases

  1. How many individual logins do we have for the Primo back office?

As many as you want

  1. If we want additional Views before we go live do we configure these ourselves? Is this something we would need to wait to do after January when we get access to the Back Office as the timescales would be quite short?

Yes. As per call this morning what we need is to know exactly what scopes are needed.





  1. Can we manage the old and the new UI in the back office?

Yes

  1. Can you confirm how long it takes to update any changes made in Alma (cataloguing new physical resources, changes to e-resources) in Primo. Does the pipe run weekly or more regularly?

Normally up to 12 hours

  1. What is updated in real-time in Primo (e.g. holds, returns, loans, etc) and in Alma (e.g. new records being available from the Primo front-end)?

Real Time Availability (RTA) updates availability of items not pulling in new recvords

  1. Can you provide a bit more detail on what hotswapping is?

Basically its bringing all the records that have been indexed since the last hotswap across all institutions into the front end and running a physical delete pipe

  1. Are there any admin tasks we need to do around publishing or is this set up during the implementation? The only pipe we think we will have is Alma, is that correct?

This is setup for you

  1. Is our Alma pipe set-up during implementation? Are there any other pipes that are set up? Is there anything we need to set up?

It will be set up up. In Cutover after the full load of Alma data, ongoing publishing from Alma will be switched on and corresponding pipes in Primo scheduled.

  1. What is the scheduling around the Alma pipe, e.g. how often does it run and when? Does this impact on front-end usability?

Can be every 6 hours – this will update display section of PNX but new records will not appear until hotswapping

  1. Post Go-Live what are the admin tasks around checking the Alma pipe or other pipes? Is there a routine task for our team? For example, if it fails or someone checking for errors? How often should this be done, daily, weekly?

Daily. If there is a problem you should get emailed. At the moment it goes to me but at the workshop we’ll switch that over to you

  1. Under what circumstances would we be likely to change the Alma pipe?

Ongoing Alma pipe shouldn’t need to be changed. However if you want to renormalize your Alma data then a renormalisation pipe will need to be run

  1. Can you clarify when records are marked for deletion and the indexing process runs, during that indexing process are entries for records being deleted removed or marked for not to be included and then records themselves deleted?

The records are physically deleted at the end of the hotswapping

  1. What kind of information is added to a record in enrichment and where does it come from, e.g. is it external records, Primo Central?

LC subject headings

  1. Do we need to wait until we have access to the Primo back office to make changes to code tables?

Depends how many. You can send some in to me to change.

  1. We do not have the ‘Expand beyond library collections’ option in search results. Can this be made available in both the old and new UI?

This will mean bringing back only full text results initially from Primo Central. But yes this can be done - DEMO

  1. Can facet categories be an option to filter by in the Advanced search, e.g. could we have Library as an option to search by in the Advanced search?

Not facets but you can set up scopes for each library. This is what Cambridge have done.

  1. Can classification be a facet as we have different classification schemes between the libraries?

It could be but not sure what the user experience will be what you expect

  1. On the new UI is it possible to have the search scopes appear without clicking on the magnifying glass icon in the search box?

No. Please submit a case for this as a defect

  1. Are the scopes we have set up available to re-use/copy/amend (supposing we want to)?

Yes


  1. Could a scope be based on the various additional subject heading type schemes that were in use in Aleph (e.g. public health ones, DOH thesaurus)? Would we have to have this information placed in a different metadata field if we wanted to use it?

In the normalisation you would have to write rules in scope section for this but it could be possible. Please provide more information.

  1. What are the 'restricted search' and 'restricted delivery' options we saw on screen in the Views wizard about? When would they be used?


  2. Who gets access to the Views Wizard? Particular roles or system admins only?

Views manager and above roles


  1. Can a view be affiliated with a campus or library instead of a whole institution?

You can control its content and it will have a different url.


  1. Confirm that tabs will not be used in the new UI, just scopes?

Just scopes as you see now


  1. In the scopes video, the example adding PCI to local data would mean article level records would be retrieved? Is this correct?

Yes

  1. What does the Ebsco deep search plug-in search? Is it any Ebsco subscriptions your institution has. Are you able to demo this on the Primo front-end?

You need your EITWS profile. I can’t really demo this. Users need to be on campus or authenticated.

  1. Can you confirm the Primo sandbox refers to the front-end or back office? Can you test things in the sandbox first before deploying to live?



Sandbox is a separate environment from production designed for you to do testing

  1. What options are there to configure the ‘Personalise my results’ feature from the search results?

  1. Can we create links to our document delivery service in search results records, in the same way you can create links to Amazon, Google Books, etc?

Yes. E.g some libraries link to bookshop, reading lists

  1. In the PNX video, section about Control section, the demo refers to “The sourceid, originalsourceid, source system, and source format were defined when the Data Source was configured in Primo” Can you clarify what this means? Who did this? Is it something we could do? and why??

When you create a new data source you have to give them names and codes and these are used by the normalisation. You will only need to do this if you add new data sources

  1. In the ranking section of the PNX video discusses “two booster fields” would this bring selected records to the top of the search results?

You can boost certain types of record that otherweise wouldn’t appear top because of lack of metadata. Other option is blending where you can weight Local records against Primo central records.
