1.Approval Minutes of the Away day Jerusalem, January 2018

2. President report

KW welcomes the group and opens the meeting. The federation is facing a critical situation: in the next period we will face a change of roles inside the EC, the need of having bylaws for some critical issues, and the financial problems (bank accounts and budget restrictions).

We should improve contacts with our societies. Goran will speak at the General Assembly asking for some direct contacts among affiliates.

Albufeira 2018: KW underlines the outstanding scientific program and the small number of participants.

3. Congress update (AIM) Report

Budget restrictions due the absence of big sponsors and the small number of participants. 80.000€ of deficit for AIM. AIM won’t provide the welcome reception (2000€ payed by EFS).

At the moment we have 276 delegates who have paid (about 100 people less than previous editions).

318 total participants including invited speakers. About the countries, we have 63 people from Portugal, 37 from Italy, 35 from Norway.

2 sponsors (Intimate and ZSI, Zephyr Surgical Implants) - 1500 euro each for having a desk and a sponsored symposium

EA suggest to re-think the way we usually make a congress (think about the venue, e.g. university, modest venues, etc.). MS suggest thinking about how many are attending for scientific reasons and how many for the venue. BC suggest including more national symposium.

Albufeira Municipality supported the congress (bags, gadgets for EC, presidential dinner). KW & SV will write a letter to thank them after the congress

6. Gold Medals

7. Bid 2020 Aalborg proposal congress

Absence of a PCO; AIM will be asked to evaluate the proposal of contract for Aalborg.

Aalborg organizers are asked to contact and have a written declaration of collaboration among NACS and EFS/Aalborg for the congress to increase the success of the event and guarantee a minimal number of participants. A joint congress could be an idea to explore.

8. Bylaws

The following issues should be discussed in the next 2-3 months by a specific subcommittee elected among the new EC:

• Gold Medals committee roles

• Past-President roles

• EFS youth committee (roles and time of action)

• Two signatories to the designated EFS bank account

• EFS bank accounts has to be closed in reasonable time (e.g., 6 months) after the change of treasurer

• Liaison with EFS/ESSM roles

• Definition for full membership (by UN WHO Europe block of 50 countries) & Fee for affiliated societies outside Europe

• Official Registration of the EFS as a Federation in EU (chamber of commerce)

Kevan Wylie and Mehmet Sungur will be part of this process
