Job Title: Operational Lettings Staff
Salary Range: Minimum Wage (£7.78 per hour – casual contract)
Responsible to: Director of Business and Finance
The primary role of the Academy Lettings Staff is the operational responsibility for the academy’s lettings and community programme. The role falls into three distinct areas: pre‐lettings/activity preparation, on‐the‐ground lettings/activity management and post‐lettings/activity clear‐up. Strategic responsibility lies with the Director of Business and Finance. However, Operational Lettings Staff will also contribute to the ongoing development of good policy and practice.
The role of the Operational Lettings Staff is crucial to the relationship of the academy with the wider community. As such, responsibility will stretch beyond academy hours/term dates.
Working Conditions:
The post will involve some ongoing considerable physical effort, such as lifting and carrying of equipment etc.
The post holder will be required to work split shifts to assist with the opening and closing of the site. This will involve, on occasions, periods of lone working.
The post holder will be expected to wear a uniform, which will be provided by the academy.
Core Duties:
Overseeing the preparation of all facilities ready for letting periods
Carrying out daily checks around the academy that should encompass:
A visit to each area to ensure that all cleaning and laundry arrangements are being carried out satisfactorily
A walk around the School grounds to ensure that any problems (e.g. vandalism, graffiti, excess litter) are dealt with effectively and promptly
A visit to the director/leader of each user group to identify any issues that require attention
Managing, where required, the cleaning of all academy facilities alongside the Cleaning Staff
In liaison with the Director of Business and Finance, determining which facilities will be made available for lettings (e.g. classrooms, sports facilities); drawing up detailed schedules and timetables for all lettings; maintaining and updating the booking/payment information database; redrafting guidelines for user groups
Maintaining positive relationships with key members of the wider community/user groups; Assisting the academy in developing and implementing a marketing strategy for the academy with a view to increasing lettings
Other Duties:
To assist the Principal in ensuring that the academy runs smoothly, and acting in a management capacity, as the need arises. This includes:
Actively promoting the academy’s high expectations and equal opportunities policy.
Maintaining sound procedures for security, supervision, and maintenance of the school environment, ensuring that all safeguarding/health and safety regulations are met.
Modeling the highest standards of professional conduct, supporting and driving excellence in all practice within the academy; ensuring that Cliff Park Ormiston Academy and the Ormiston Academies Trust is always presented positively within and beyond the academy.
Notes:
All staff are part of a wider academy team. Each individual, therefore, is required to support the values/ethos of the academy and the academy priorities as defined in the Academy Improvement Plan. This will mean being responsive to the needs of colleagues, parents and students and being flexible in a demanding environment. On occasions the post holder may be expected to carry out additional tasks, as requested by the Principal and Governors, which are not specifically specified in this job description.
All staff in the academy work subject to statute and academy policies and procedures. The post holder will be expected to become familiar with these and work in accordance with them.
This is a new job profile for a new post. It will be for a probationary period of one year initially and is subject to review with the post holder from time to time.
Due to the nature of this job, it will be necessary for the appropriate level of Criminal Record Disclosure to be undertaken. It is essential that post holders disclose whether they have any pending charges, convictions, bind-overs or cautions and if so, for which offences. Any failure to disclose such convictions will result in dismissal or disciplinary action by the academy.

Professional Experience/Knowledge & Skills |
