MINUTE/MEETING REPORT

Purpose of the meeting:

Steering Committee (SWSC) meeting.


Agenda with report:


  1. What has been done since our last meeting, and what needs to be done?

It is clear that the VIRCLASS teacher day in Lisbon cannot be paid for by SW-VirCamp money, so the teachers that come to Lisbon only for this meeting will have to be funded by their home universities.


Anne Karin will start paying staff costs to partners next week, so she needs the necessary forms from the workpackage leaders at the latest by 28 May.


Andrés has not yet sent a reminder to partners that they should give feedback about the Quality Guide, but will do this by 28 May.


  1. The VIRCLASS evaluation survey.

A survey has been developed based on the themes we decided in our last meeting by Anne Karin, Grete Oline and Andres. Andres will make some small changes and activate the survey tomorrow and send this to the partners. There is a possibility for the other WP leaders to bring input to the survey, but it must be done before tomorrow.


  1. The integration of the e-learning courses in the BA programmes.

Based on the information sent in for the Partner Meeting in April, Anne Karin has made an overview of the possibilities for integrating the e-learning courses in the BA programmes at the different institutions. The SWSC went through the overview, updating it with the information available at the meeting.


The workload for students is quite high in the SW-VirCamp/VIRCLASS courses. The students’ marks in Module 2C this year were lower than before. It is possible that the students are not well enough prepared for academic writing. It is important for the students to know academic writing before they join the courses. For the Mannheim students it is at this point possible to choose only to do presentations, and so to have none experience with academic writing before they join SW-VirCamp/VIRCLASS courses. On the other hand, the Jönköping students all have had courses in academic writing before they join.


Jönköping is about to leave the consortium, and so cannot suggest anything regarding integration of courses at this point, we therefore do not know their status regarding further coopertation. Lusofona did not deliver any information yet about how they can integrate the courses and Anne Karin will contact them again about this. It is also possible that Swansea will leave the consortium.


Anne Karin will send the updated overview of possibilities for integrating the e-learning courses in the BA programmes to all partners before the Partner Meeting in Lisbon.


  1. Overview of e-teachers next year.

At this point we have the following information about who will teach in what courses the next academic year:

  1. VirCamp student survey.

A draft for questions for the final survey for the Community Work students has been made by Grete Oline. The SWSC went through the draft in the meeting, and made some adjustments. Based on the input, a survey will be made next week and presented to students when they finish their exam.

Andres will look through the responses in the two previous surveys and also make sure that questions related to the Quality Assurance will be included in the survey.


  1. Other.

The administrative model:

Mannheim has discussed the suggested decentralised administrative model, and has found that it may be problematic to take on new responsibilities, as there is already an overload of tasks per employee at this institution. For Mannheim it may be easier to pay a higher fee than to invest more human resources in the future. Ulla therefore thinks that the VIRCLASS administrative model as an alternative way of managing the new SW-VirCamp consortium should be discussed more in depth.


Anne Karin suggest that instead of increasing the institution fee for partners not delivering human resources, the institution can hire new staff to either participate in the VirCamp work or to take over other tasks at the institution.


To get an overview of what human resources are available, a list should be made of active persons in VIRCLASS/SW-VirCamp – first the teaching resources and then other groups. This will also be a way to find out who may be the next consortium leader.


Presence at the Lisbon meeting:

During the meeting Anne Karin received an e-mail from Gudrun Ehlert telling that because of her family situation she would not be able to attend the Lisbon meeting. Nobody from Mittweida will be able to participate in this meeting, but they will deliver the needed information before the meeting.

Decisions taken:

  • It seems that the most pragmatic and at the moment possible option is to arrange the e-learning courses – M1 and M2 in the autumn semester and the Community Work module in the spring semester. The 15 ECTS credits must then be taken by students over the whole semester and cannot be arranged as a fulltime course.

  • Attachment: the overview of institutions possibilities for integrating the VirCamp e-learning courses.

Appointments (who does what when):

  • Work package leaders have to make sure to have sent all necessary documents regarding staff costs to Anne Karin by 28 May.

  • Anne Karin will send the updated overview of possibilities for integrating the e-learning courses in the BA programmes to all partners before the Partner Meeting in Lisbon.

  • Remmelt will contact the two institutions, ISMT and HSM that only presented the possibilities for courses in the spring semester, to see if they can also allow their students to participate in courses in the autumn semester.

  • Remmelt should contact partners to get a full overview of teachers for the next academic year.

Progress:

  • Anne Karin starts paying staff costs for partners in week 22.

  • Andrés will send a reminder to partners 28 May that they should give feedback regarding the Quality Guide. The deadline to reply will be 5 June.
