POSTGRADUATE PROCEDURES: RESEARCH PROGRAMMES

CHANGE IN ATTENDANCE MODE



Research students may apply to change their mode of attendance from full-time to part-time and vice-versa.


The conversion is worked out by counting the number of months the candidate has completed, either FT or PT, converting this to the equivalent of either FT or PT, as appropriate, and then subtracting this result from the total number of months required for the degree using the new attendance mode. The result is the number of months the candidate must do to complete the registration. To find the new completion date the number of remaining months must be counted from the date that the candidate changed attendance mode.


PhD

A PhD takes 4 years (48 months full-time) or 6 years (72 months) part-time.


48 = number months FT registration or 4 = FT

72 number months PT registration 6 PT


To calculate FT to PT, School Administrators should divide the number of months completed by 4 and multiply it by 6 to provide the equivalent number of part-time months completed.

To calculate PT to FT, divide the number of months completed by 6 and multiply it by 4 to provide the equivalent number of full-time months completed.


e.g. For 12 months FT completed: 12 divided by 4 = 3; 3 x 6 = 18, therefore the equivalent of 18 months’ PT have been completed.

For 12 months’ PT completed: 12 divided by 6= 2; 2 x 4= 8


MPhil

A MPhil takes 24 months full-time or 36 months part-time. Therefore:


24 = number months FT registration or 2 = FT

36 number months PT registration or 3 PT


To calculate FT to PT School Administrators should divide the number of months completed by 2 and multiply it by 3.

To calculate PT to FT, divide the number of months completed by 3 and multiply it by 2.


e.g. For 8 months FT: 8 divided by 2 = 4, 4 x 3 = 12, therefore 12 months PT.

For 15 months PT: 15 divided by 3 = 5, 5 x 2 = 10, therefore 10 months FT.


MA

A MA takes 12 months full-time or 24 months part-time. Therefore:


12 = number months FT registration or 1 = FT

24 number months PT registration 2 PT


To work out FT to PT, multiply the number of months completed by 2.

To work out PT to FT, divide the number of months completed by 2.


e.g. For 3 months FT completed: 3 x 2 = 6, therefore 6 months PT completed.

For 3 months PT completed: 3 divided by 2 = 1.5, therefore 1.5 months FT completed.


Form and Letter


1. The student or the student’s Supervisor should send their request to change from FT to PT or PT to FT in writing to the School Office (an email is sufficient).


2. The number of months completed should be worked out, changed to the new attendance mode and taken away from the total number of months needed for the degree to find the new completion date (see explanation above).


3. A ‘Change in Mode of Attendance’ form should be completed for the student. Refer to the form, change-attendance-mode-form.

4. When completed the form should be passed for signature first to the Supervisor, and then to the School Director of Graduate Studies (Research Programmes).


5. When the form is returned with approval a letter should be sent to the student. Refer to the standard template: change-attendance-mode-letter.


CMSDS Procedures


1. School Offices should then update the Student Records System. Change the student’s attendance mode on the details screen.


2. Change the completion date on the general screen.


3. A note should be put on the notes screen saying something like: ‘changed from FT to PT or PT to FT - registration now ends 00/00/00’.


4. For research students, change the diary note for the extension year on the notes screen to fit in with the new completion date.


5. For research students, change the due date on the pg thesis screen to the new completion date.


School File


1. Make a note in the student’s file to record that they have changed attendance mode.
