Minutes of Meeting of 20 April 2017

The minutes were agreed to be correct.

Matters Arising

Lorna had discussed the issue of patient confidentiality with the GP Partners. They had agreed that we should amend the PPG Terms of Reference to include a statement on confidentiality. The PPG agreed the amendment which added to section 7: “f. All members must respect patient confidentiality and will be asked to read and sign a confidentiality agreement.” Lorna had also adapted the practice Staff Handbook section on confidentiality for PPG use, with a statement for a PPG member to sign. This was read by all members present and agreed. Signed copies were returned to Lorna. Lorna would forward a copy to other members and to any new members in the future. It would also be added to the website. (Lorna)

The Practice welcomed members’ willingness to help by stapling newsletters to prescriptions, but felt this would not be appropriate.

Lorna had investigated siting and cost of a perspex newsletter holder, and would discuss this potential expense with the GP Partners. (Lorna)

Susan explained that work on identifying funding sources for the PPG was in hand and ongoing, but asked everyone to consider any sources of funding.

Next newsletter

Lorna was in early stages of discussion with the Reception team about drafting “A day in the Life” section for the website. It was suggested that photos might be added – individual or a reception team photo. (Lorna)

Tricia and Susan would jointly draft a section on the PPG – achievements so far, and mention of plans for improving patient information. (Tricia/Susan)

It was hoped that future editions would focus on other roles – Health Care Assistants might be next. It was thought to be an important way of providing the public with information on how the Practice worked, and the demands and challenges it faced.

The Practice were keen to seek patient views on current services and access to them. The PPG agreed that they would be glad to help with this work. This might be by phone calls to patients, by written questionnaire forms conducted by the PPG, or by an online survey form. The newsletter would mention this important work so that patients might expect to be contacted. Lorna would ask Karen whether the Health Council could assist in putting together or analysing such a survey. (Lorna)

The draft newsletter sections would be discussed and agreed at the next meeting, with the aim of publishing during June.

Action Plan

Plans for improving patient information were discussed. Tricia had volunteered to lead on this together with Susan.

The first step would be to remove all existing posters and leaflets and start again in a structured way. There would be fewer on display at any time, with frequent changes. Ideally this would be tied up with particular public campaigns. It was agreed that the Practice were responsible for filtering out any information not suitable for display – no advertising, for example. Lorna would collect together any new suitable posters/leaflets for the PPG to use. There might be a need for new racks, files or labelling but this would be assessed as time went on. Where possible, the website would be updated with similar information. (Tricia, Susan, Lorna)

It was commented that we had so far made no progress in engaging with young people, despite the posters displayed at the Forfar Community Campus. It was agreed that copies of the next newsletter should be handed in to the Pitstop. Tricia agreed to be our lead in addressing Mental health issues particularly with the young .

Tricia’s contacts with the Men’s Shed would also be helpful and members were happy to be involved in a meeting there.

Lorna would update the Action Plan with progress for further discussion at the next meeting. (Lorna)

Any other business

It was suggested that PPG might benefit from identification when speaking to patients. Lorna would ask the GP partners about providing a namebadge for members. (Lorna)
