Head Teacher Guide: Return to Work Interviews

What is it?
What do I need to know?
What do I need to do?
The return to work interview is the discussion that takes place between a manager and employee, following the employee’s absence from work due to sickness.
The aim of a return to work interview is to establish the reason for absence and whether there is an ongoing health problem. It is best practice to interview all employees on their return from a period of sickness absence no matter how long they were off for.
The interview must cover the questions detailed on the reverse of the Sickness Declaration and Return to Work Form (if HR Admin and Payroll are your payroll provider).
On the first day back or as soon as possible after the employee has returned to work from sickness, conduct a return to work interview with the employee using the template on the back of the Sickness Declaration and Return to Work Form. The interview should be informal and supportive and held in a private room or area.
Purpose of the Interview:
acknowledge the return has taken place
ensure the employee has not returned to work too early
identify if a doctors opinion was sought
establish if there might be a future need for the employee to go back to a doctor
discuss any support the employee may need to ease the process of return, in particular any temporary recommendations or additional support detailed on the Statement of Fitness for Work
make the employee aware of what cover arrangements were made during their absence in order to provide useful information and continuity of the service
encourage a general understanding of the impact of absence upon service delivery
Return the completed form together with any Statement of Fitness to Work to HR Admin and Payroll (where they are the provider) to ensure payment of sick pay.
